User Manual
Installation, setup and daily operation guide for owners, front desk teams and administrators.
Quick start
Install the official Birlo Reservations ZIP, activate the plugin, enter your licence and complete the property setup. Before accepting public bookings, create room types, physical rooms and rates, then run one complete test booking.
1. Installation and initial setup
Installation
In WordPress open Plugins → Add Plugin → Upload Plugin, choose the official ZIP, install and activate it. Keep WordPress, PHP and the plugin within the published requirements.
Licence and updates
Open Birlo Reservations → Licence, paste the key received after purchase and activate the site. An active licence provides updates and support. If it expires, the installed version and your data continue to work on your WordPress site.
Property, rooms and rates
Set the property details, contact information, address, check-in/out times, currency, taxes and public pages. Create room types first, then physical rooms, rates, capacity and restrictions.
2. Reservations and Planning
Planning provides a visual view of occupancy, arrivals, departures and room assignments. A reservation brings together the booker, guests, stay, room, charges, payments, documents and operational status.
3. Daily operation
Front desk
Use arrivals, departures, in-house guests and priorities to organise each shift. Record check-in and check-out only after guest data and room status have been verified.
Payments and billing
Record payments, review charges and folio balances, manage outstanding amounts and issue invoices when appropriate. Test any payment gateway before production.
Housekeeping
Maintain cleaning, inspection, maintenance, tasks and incident statuses so the front desk always knows which rooms are ready.
Guest area
Guests can review their booking and, depending on configuration, complete pre-check-in, send requests, access documents, extras, messages and outstanding payments.
4. Integrations
iCal
iCal synchronises occupancy and events with compatible channels. It is not a full channel API and does not necessarily synchronise rates, messages or payments.
SES.HOSPEDAJES
Configure credentials and property data in a test environment before sending real communications. Verify traveller data before transmission.
Redsys
Configure test credentials first and verify approved, declined and return flows before switching to production.
5. Security and maintenance
Take backups before major updates, give users only the permissions they need, keep WordPress and PHP updated and review System Health regularly. Never share licence keys, payment credentials or private certificates.
6. Troubleshooting
- No availability: check dates, capacity, blocks, rates and physical rooms.
- No update shown: verify the licence and run Check for updates.
- Pending payment: review the gateway and reservation payment status.
- iCal issue: verify the URL, mapped room and WordPress cron.
- SES error: verify environment, credentials, property data and certificate where required.
Before going live
Back up the site and test the full journey: search → booking → payment/pre-booking → email → guest area → check-in → housekeeping → check-out → invoice.
